Every client you work with gets one clean record in Panzo, with their contacts, deals, projects and the full history of calls, emails, notes and meetings attached. This guide is for owners, presales and sales who need the whole story of a relationship in one place.

One profile per customer

A customer record holds the identity of the account, not a single enquiry. Each one gets an auto-generated customer code, its GST and PAN on file, and an account owner so the book of business splits cleanly by who is responsible for it. Fields like profession, city and lead date carry over from the sales context, so a customer that arrived through lead conversion is already filled in.

The detail page tabs through what matters about the account: its contacts, its deals and its projects. One customer can carry several contacts, so a decision-maker, a spouse and a site contact all live under the same account rather than as separate records.

Panzo normalises phone numbers and email addresses so likely duplicate customers surface for you to review. It never blocks a new record and never merges accounts automatically, so you stay in control of what is really the same client.

One identity, from lead to project

A customer, its deals and its projects stay linked by a stable identity. A repeat client on a fresh project starts from that project, so it never accidentally inherits pricing or scope from an old job.

The activities timeline

The Activities view pulls every touchpoint with a client into a single newest-first timeline, so there is never a question of which module a call or a note belongs in. It merges scheduled meetings with the lighter touches, calls, emails, notes and to-dos, into one running record.

  • Type tabs (All, Meetings, Calls, Emails, Notes, To-dos) let you focus on one channel at a time.
  • New Meeting opens right inside the view, so you can schedule without losing your place.
  • Activities is a top-level module in the rail, not a tab buried inside another screen.

Meetings as records

Meetings are first-class records, not diary entries. Each one carries an agenda, a host, a venue and an outcome, and is scheduled by type so a qualification call, a site visit, a design review and a quotation discussion are all distinguishable later.

  1. Schedule the meeting

    Set the type, agenda, host and venue, and link it to the deal, lead or project it moves forward.
  2. Record the outcome

    After the meeting, mark it Completed, Cancelled or Rescheduled and note what happened.
  3. Manage the list

    Use bulk actions to mass-update status, change owner, export or delete across many meetings at once.

Because a meeting held at the lead stage counts toward the deal that lead becomes, your sales reporting can attribute meetings-per-win honestly rather than losing the early conversations.

Important

No calendar sync yet

Meetings live inside Panzo. Two-way calendar sync and automatic reminder notifications are not built yet, so do not rely on Panzo to push invites to Google or Outlook or to alert attendees on its own.
